POSITION SUMMARY:
The Senior Membership Operations Manager will be responsible for the day to day management of the Academy's Membership operations staff and division. Primary responsibilities will include staff development, timely and accurate processing and reporting of membership gifts, database management, heavy analytics and reporting, plus being the liaison with other key departments such as IT/systems, Contact Center, Finance, and Front of House in an effort to help acquire, service, and renew Members. This position reports to the Director of Membership, Cindy Dougherty, and is part of the Development Team led by Janet Harris.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Operations Processing
• Train, develop and manage membership data entry support staff
• Manage all member data entry, batching, revenue deposits, including member card renewal cycle, invoicing, and members' packets and communication
• Identify and correct irregular membership systems problems; bad credit, duplicate payments, mailing corrections including follow up for resolution of problems
• Manage export files and mail file merges for Academy promotions and mailings
• Ensure the Membership Data Entry Procedure Manual is up-to-date
Reporting and Analysis
• Create financial, statistical, renewal and ad-hoc reports on a regular basis
• Provide daily campaign results and update to the Director, and others, as needed
• Maintain, analyze, and report all member and constituent records
Systems and Marketing Support
• Make recommendations on new products/programs, marketing channels, positioning, etc. for successfully acquiring, servicing and renewing Memberships. In addition, provide recommendations on how to cross-sell other revenue generating products (tours, lectures, Nightlife, etc.)
• Work with Guest Services and Contact Center to improve daily sales results and assist in developing new marketing collateral (i.e., renewal letters, etc)
• Work at Membership events and programs as needed (some weekends and evenings)
• Develop and manage business requirements and trouble tickets in collaboration with various departments (IT/Systems, Front of House, Contact Center, Web, Finance, etc.) for new system capabilities or trouble shooting. Conducts systems testing as needed
• Follow all Academy safety regulations
• Other duties as assigned
QUALIFICATIONS:

EDUCATION and/or EXPERIENCE:
The ideal candidate will possess a combination of the following education and/or equivalent experience:
• Bachelor degree preferred
• Three years experience in membership, development or direct response marketing
KNOWLEDGE, SKILLS AND ABILITIES:
• Knowledge of computer technology, specifically experience with Blackbaud/Raisers Edge, Galaxy, and CRM/data warehouse
• Competent with computer database management; MS Word, Excel, Access and Outlook
• Experience in developing and managing department-ops manuals, reporting, strategies, and business requirements
• Strong project management, time management, and follow-through skills
• Ability to key-in gifts, run reports, find errors in data processing, ensure daily processing is complete (check and balances), and ability to act as the systems liaison
• Ability to work with Academy staff on all levels, as well as members and donors as needed. Excellent verbal, analytical and problem solving skills
• Good customer service skills
• Highly organized and detail-oriented
LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups or individuals.
