Event Program & Project Director – Clean Energy for High Horsepower Applications

Gladstein, Neandross & Associates (GNA), a leading clean transportation and energy consulting firm, is seeking an Event Program & Project Director to lead strategy development and project management for a conference focused on clean energy technologies for off-road high horsepower applications, including marine, locomotive, mining, construction, agriculture, power generation, and other industrial applications. In this role, you will lead the conference program development process from start to finish, including strategizing session topics, formats, and speakers that showcase the projects and technologies driving sustainability across multiple off-road transportation sectors. Candidates should have demonstrated experience and interest in alternative fuel applications—including LNG/CNG, battery-electric, hydrogen fuel cell, ammonia, methanol, LPG/propane, and biofuels—and the early demonstration projects taking place in commercial operations around the world. The ultimate goal of the conference is to showcase an array of emerging solutions that can help off-road fleets managers significantly reduce fuel costs, improve environmental performance, and comply with important air quality policies and regulations.

The ideal candidate is an extremely organized self-starter with a passion for advanced clean transportation and experience managing complex projects with multiple stakeholders. This position would ideally be in our Santa Monica, California office (hybrid schedule of three days in office, two days remote), but we are willing to consider a fully remote role for the right candidate.

Responsibilities of this position include:

Lead the conference program development process, including strategizing session topics, formats, and speakers
Draft compelling agenda session titles and descriptions to attract off-road fleet executive attendance
Identify and organize opportunities to host in-person or virtual tours so that attendees can see real-world projects firsthand
Coordinate with the marketing team to identify target audiences and provide direction on list development
Provide direction to the marketing team to support attendee outreach efforts, including reviewing email content/images, thought leadership articles, website content/images, promotional videos, event collateral and more
Identify industry associations to participate as "endorsing organizations" to help market the educational event to their members
Provide direction and feedback for sponsor/exhibitor outreach, including helping to identify target organizations and contacts
Collaborate with SVP of Sales to identify speaking opportunities for key sponsors and exhibitors
Participate in pre-event prep calls with speakers/panelists to provide direction to speakers on key trends/topics to cover, tips to ensure presentations are informative and compelling, and questions speakers might receive from the audience
Coordinate with VP of Events to develop run-of-show plans, including room set up, audio-visual plans, and event staffing schedules
Coordinate with Events, Sales, and Creative leads to develop, maintain, and successfully implement strict project timelines
Serve as an onsite liaison/handler for VIP speakers and panelists
Organize internal planning meetings with the event logistics, marketing and speaker support teams, including preparing agendas and status updates
Respond to technical inquiries from conference attendees and team members
Maintain awareness of the competitive event landscape, including tracking event dates/locations, session topics, speakers, sponsors; and exhibitors; attend competitor events, as appropriate
Identify ideal locations/dates to host the annual conference based on the competitive event landscape, opportunities for off-site tours, local sponsorship opportunities, and other factors
Drive process management including documentation of workflows, roles and responsibilities, post-event key findings, and refinements

Minimum Qualifications:

Bachelor's degree in business, technology, or a related field strongly preferred
At least five years of program management experience in a technical or policy field
Awareness and interest in alternative fuel applications
Awareness and interest in off-road alternative propulsion systems
Exceptional ability to organize, document, and effectively communicate complex ideas to a diverse audience
Experience developing educational events is a major plus
Strong interpersonal skills; high degree of responsibility, initiative, and professionalism
Proficient in the Microsoft Office Suite
Exceptionally strong organizational, planning, communication, and writing skills
"Can-do" attitude and a willingness to learn
